Last updated: January 2026
This policy explains how Halo Project Charity collects, uses and protects personal information through the Student Halo Hubs website. Halo Project Charity is the data controller for that information and is registered with the Information Commissioner’s Office.
Who we are
Halo Project Charity is a registered charity in England and Wales (charity number 1159143) and a company limited by guarantee (company number 08913368). Our registered office is Vanguard Suite, 307a Broadcasting House, Gilkes Street, Middlesbrough TS1 5JA.
We can be reached on 01642 683 045 or at info@haloproject.org.uk. Any reference to “we”, “us” or “our” in this policy means Halo Project Charity.
Information we collect
We only collect information you choose to give us, together with limited technical information about your visit.
- Registration enquiries: your name, your college or university, your email address and any message you send us.
- Merchandise orders: your name, delivery address, email address, telephone number and order details.
- Contact forms and email: the contents of your message and the details you include in it.
- Technical data: IP address, browser type, pages viewed and referring page, collected through cookies and server logs.
How we use your information
We use your information to respond to enquiries about setting up or joining a Halo Hub, to fulfil merchandise orders, to provide the training and support that Hub members ask for, and to keep records required of us as a charity.
We do not use your information for automated decision making or profiling. We will only send you marketing or newsletter emails if you have asked us to, and every such email includes an unsubscribe link.
Our lawful basis
Where you contact us or register your interest, we rely on your consent and on our legitimate interests as a charity in responding to you. Where you place an order, we process your information to perform our contract with you. Where the law requires us to keep records, for example financial records, we process information to comply with a legal obligation.
Payments
Merchandise payments are processed by Stripe. Your card details are sent directly to Stripe and are never stored on this website or on our systems. Stripe acts as an independent controller for that payment data and processes it under its own privacy policy.
Who we share information with
We do not sell or rent your personal information. We share it only where it is necessary: with our website and email hosting providers, with Stripe for payment processing, with the printer and courier who fulfil merchandise orders, and with a college or university where you have asked us to arrange a Hub with them.
We may disclose information where we are required to do so by law, or where there is a serious and immediate risk to someone’s safety.
How long we keep it
Enquiry and contact records are kept for up to two years after our last contact with you. Order and financial records are kept for seven years to meet accounting and charity reporting requirements. Hub membership and training records are kept for the duration of your involvement and for three years afterwards. Information that is no longer needed is securely deleted.
Keeping information secure
This website is served over an encrypted connection. Access to personal information is restricted to staff and volunteers who need it, and our staff receive data protection and confidentiality training. Because Halo Project supports people at risk of harm, confidentiality is treated as a safeguarding matter as well as a legal one.
Your rights
Under UK data protection law you have the right to ask us for a copy of the information we hold about you, to have it corrected or erased, to restrict or object to how we use it, to withdraw consent at any time, and to ask us to transfer it to another organisation.
To exercise any of these rights, contact us using the details below. We will respond within one month. If you are unhappy with our response you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
We review this policy at least once a year. Any changes are published on this page with an updated date at the top.
